Volunteer Agreement and Contract

This Volunteer Agreement (“Agreement”) is entered into by and between “Camp Trident” (“the Organization”), a non-profit organization focused on inspiring young men, 13 to 18 years old by providing them with an exciting outdoor experience laced with challenging activities designed to enhance teamwork, self-confidence, and perseverance. This will be accomplished through intensive mentorship and constant exposure to positive role models in an austere, stressed controlled environment.

1. Purpose

The purpose of this Agreement is to outline the terms and expectations under which the Volunteer agrees to contribute time and skills to support the Organization’s mission, specifically in working with youth aged 12 to 17 years old through various military-oriented activities and development programs.

2. Volunteer Role and Responsibilities

The Volunteer agrees to perform the following duties in a manner that aligns with the Organization’s objectives and values:

  • Assist in the planning and facilitation of youth programs, events, and activities.
  • Mentor, guide, and supervise youth participants, ensuring a safe, engaging, and educational environment.
  • Understand that the back-side support volunteer is not a primary Instructor/Cadre member. You are agreeing to assist the instructors, maintain a high level of work ethic, create a positive environment in mentoring the younger youth members and always maintaining a professional appearance.
  • You are not in a position to delegate any form of punishment; you are there to lead by example and volunteer for anything that is needed to support the instructor staff (i.e., volunteering to sleep in a tent next to the campers; we need two people present around the campers at all times, not sleeping in your vehicle, filling up vehicles that need fuel, staying ahead of what each activity is; providing and maintaining necessary tools and material for upcoming evolution, updating the daily objectives activities white board, etc.)
  • Adhere to all policies, procedures, and guidelines set forth by the Organization, including any behavioral protocols for interacting with youth.
  • Participate in training sessions, meetings, and events as necessary.
  • Report any concerns regarding youth safety, behavior, or welfare to designated staff members or supervisors.
  • Maintain confidentiality and respect the privacy of youth participants, staff, and other volunteers.
  • Lead morning Physical Training sessions with the support from the Instructor Staff.

3. Code of Conduct

As a Volunteer, you are expected to:

  • Treat all youth participants, fellow volunteers, and staff members with respect and dignity.
  • Follow all safety protocols and regulations as outlined by the Organization and any applicable laws.
  • Refrain from engaging in inappropriate behavior, including but not limited to physical, verbal, or emotional abuse, and harassment of any kind.
  • Avoid any conflicts of interest and disclose any potential conflicts to the Organization immediately.
  • Maintain appropriate boundaries with youth participants, avoiding any behavior that could be perceived as inappropriate or harmful.
  • Report any incidents or concerns regarding misconduct or violations of the Code of Conduct promptly.

4. Time Commitment

The Volunteer agrees to commit to the agreed-upon hours of service, which may vary based on specific activities, events, or programs. The Volunteer will notify the Organization in advance if they are unable to fulfill their scheduled duties due to personal or unforeseen circumstances.

5. Training and Orientation

The Organization will provide the Volunteer with initial orientation and training to ensure they understand the programs, safety protocols, and expectations. Additional training may be required periodically to maintain the Volunteer’s role.

6. Confidentiality

The Volunteer agrees to maintain strict confidentiality regarding all sensitive information they may be privy to in the course of their work, including personal details about youth participants, staff members, and any organizational matters. This obligation extends beyond the term of the Volunteer’s involvement with the Organization.

7. Safety and Supervision

The safety of youth participants is of utmost importance. Volunteers are expected to:

  • Ensure all activities are conducted in a safe manner, in compliance with all safety guidelines and applicable laws.
  • Always supervise youth participants during program activities.
  • Immediately report any safety concerns, accidents, or incidents to the designated supervisor.

8. Liability and Insurance

  • The Volunteer acknowledges that they are volunteering their time and services without compensation. Though there may be some provided if the back-side personal provides extreme value.
  • The Organization carries liability insurance to cover accidents or injuries related to its activities. Volunteers should report any accidents, injuries, or incidents promptly to the designated staff member.
  • Volunteers are encouraged to carry their own health insurance, as the Organization does not provide individual medical coverage.

9. Termination of Volunteer Role

Either party (the Organization or the Volunteer) may terminate this Agreement at any time with or without cause. Reasons for termination may include, but are not limited to:

  • Failure to adhere to the expectations, Code of Conduct, or safety protocols outlined in this Agreement.
  • Behavior that compromises the safety or well-being of youth participants or the reputation of the Organization.
  • Inability to meet the time commitment or other logistical requirements.
  • Leaving duties without previous authorization or abandoning his post.

Upon termination, the Volunteer agrees to return any materials, equipment, or resources provided by the Organization. Volunteer understands that if this role/position is terminated, they will have to live with the shame of taking this role when someone else would have potentially performed this duty successfully and benefited in a positive way from this program. Furthermore, breach/termination of contract, verbally or non-verbally, withdraws the volunteer’s opportunity to receive any form of future requests regarding “recommendations” of any kind.

10. Acknowledgment and Agreement

By signing below, the Volunteer acknowledges that they have read, understand, and agree to abide by
the terms of this Agreement.
